Completing an Expense Report

After returning from a trip, complete and submit the expense report using PeopleSoft Expense Module.

  • All expenses should be itemized by type of expense and date of expense. 
  • Attach all receipts (except meals) and required documentation including the conference agenda.
    • For International Travel, attach currency conversions (Oanda website or copy of credit card transaction) showing the expense in USD.
  • Submit the report electronically for approvals. 
  • If a proxy/delegate enters an expense report, the traveler must login to PeopleSoft, attest to the accuracy of the report, and submit.  After attestation, the report is routed for manager approval.
  • Expense reports should be submitted for reimbursement within ten (10) days of the completion of travel.  All reports submitted after 60 days will be paid through Payroll and subject to all applicable taxes.
  • Expense reports are usually processed within 5 business days of receiving both the electronically approved expense report and all required receipts and documentation. 

 

Student/ Non-Employee Expense Report

  • All travel policy and procedures apply to student and non-employee travel.
  • Students who travel in the capacity of their on-campus job, should complete an electronic travel reimbursement report via PeopleSoft.
  • Students who are seeking reimbursement for travel not related to an on-campus job should complete the non-employee travel form.
