Online Leave Accrual Reporting Program

As per Section 802.02 (c)

Accountability. Each employee is required to complete necessary time records reflecting dates and amounts of leave taken as per the ADP process. These records are the permanent work record. The supervisor is responsible for and must certify the dates and the type leave taken as accurate.

The HR/ADP On- Line Leave Accrual Program is an online tool to assist departments in keeping an accurate record of sick and annual leave for all employees.  This tool is made available at the end of each month so that departments may review and assure that the balances in the ADP system are correct.  If adjustments are required, note the adjustments on the online system by the designated date and the adjustment will be made for the next month.

The username and password to log into the On-Line Leave Accrual Program are the same as your VSU e-mail account.

Leave Accrual Processing Instructions

  • Log into the system at  Your department name and ID will be displayed.  Click View Employee Leave Details to view your departmental employees.  Year-to-date leave hours earned and taken are also displayed.

  • Review employees’ information.  You may review information by scrolling down through all employees or perform a Search by Employee’s Name.

  • When there are adjustments to be made, click the header field Edit on the line with the employee to be adjusted and enter Date Modified, theTotal Adjusted Hours and Comments as to why the hours should be adjusted.  Click Update to submit changes OR Cancel to undo changes.

  • Two sub reports can be pulled on your departmental information.  At the top of the screen, you will see Full Excel Report which shows all departmental employees and Hours Adjusted Excel Report which detail all departmental employees with updated and adjusted hours or comments.  You may Return to Department List to view additional departmental information if applicable.  Log out when completed.  

    Note:  The system will time out after 30 minutes of inactivity.

  • Changes and updates are to be completed by the 10th of the month following the month to be corrected.  After the 10th of the month deadline, HR will review the changes and comments, contact the department where applicable and make required changes in ADP.
