Cataloging: Checking Materials on Daily Book Trucks

Catalogers take turns checking each day's cataloged and processed materials as described below.

MATCH EXACTLY:

Title on:

    Work card
    Cataloged item
Call number on:
    Work card
    Spine label (if there's no spine label, give item back to the cataloger)
    T.P. verso
    Bib record and MFHD in Cataloging module
Total number of workcards to:
    number of titles on truck

RETURNING ERRORS
    If you find an error, either correct it or return the item to the person who cataloged it, if she’s available; if not, leave it on her desk with a note explaining what the problem is. Sign your note in case the cataloger has a question.
MULTIPART ITEMS
    Generally, the call number should be written on each part of a multi-part item. We make exceptions for materials with many small parts (such as sets of play money).
VIDEORECORDINGS
    Rubber-stamp the white label on the front of the cassette with copyright notice.
SERIALS
    Check summary holdings in the Cataloging module. If the holdings have not been cleaned up since migration, or if there is more than one MFHD, give to the Serials Cataloger (Guy Frost). Otherwise, discrepancies can be returned to the Acquisitions LTA (Sheila Parrish).

    As of October 2004, added volumes with slips indicating that the old volume needs to be pulled are left on the book truck and taken to Reference.

    (If you see from the holdings that we discard or move earlier volumes, but there's no "Return" slip in the new volume, give the volume to Sheila with an explanatory note).
ADDED SERIAL VOLUMES IN REF
    These are not individually barcoded unless they will go into the STACKS later.
     
    If there are holdings in both REF and STACKS, all volumes should be barcoded.
ITEMS THAT INCLUDE FLOPPY DISKS
    If the item includes 3 1/2 - inch floppy disks (square disks), put a label that says "Do Not Desensitize -- Computer Disk Inside" on the item. (Ask Maureen for a label).

    Compact discs (4 3/4 - inch round discs) cannot be magnetically desensitized and do not require the warning label.
ALL ITEMS
    Put a piece of clear book tape over the spine label.
COMPACT DISCS IN THE FINE ARTS MATERIALS CENTER (FAMC)
    Take compact discs with FAMC call numbers to the Judy O'Brien in Circulation to be shelved.
REFERENCE MATERIALS

    Place Reference materials on a separate book truck and leave the truck next to the Reference desk (on the left side of the desk as you approach from the main stairs).

REMAINING MATERIALS

    Place materials to be shelved in the STACKS, FAMC or IMC (except FAMC compact discs) in the hallway behind the Circulation offices.

  WORK CARDS
    When you are finished, give the work cards to the Catalog Librarian (or leave them on her desk).
