Reserve Items

Instructors are encouraged to place study materials on reserve at the Circulation Desk. Loan periods for reserve materials vary from 1 hour to 7 days. You must have a current University ID card to check out reserves. Only one reserve item may be checked out at a time. Reserves are not renewable. Students should return reserve materials directly to the Circulation Desk to avoid fines. If reserves are left on study tables, the student will be responsible for all fines incurred before the reserves are discharged from their record.

The Faculty Reserve Request Form can be picked up from the Reserve Desk or can be downloaded from here.

General Information

Course reserves are designed to provide a high level of access to materials that are in demand by a large number of students. Materials are taken from the open stacks (or from an instructor’s personal collection), placed in the closed reserves areas on the second floor of the library and given short loan periods to maximize access to materials. Reserve fines are set at a higher level to motivate borrowers to return material on time for use by other patrons. Some materials can also be placed on electronic reserves (e-reserves) which can be accessed full-text via the World Wide Web.

Course reserve materials may include:

  • Books owned by Odum Library
  • Instructors' personal copies of books
  • Photocopies of book chapters, journal articles, lecture notes, homework assignments, problem solutions, test files, syllabi, etc.
Reserves Deadline

There is no deadline for submitting materials for reserve. All materials will be processed in the order they are received and may take up to a week to process during busy periods. Every effort will be made to process items for reserve by the time they will be needed for class; however, we cannot guarantee same day or 24-hour service on last minute requests.

Copyright Compliance

Copyright permissions for items that do not fall under Fair Use must be obtained by the instructor before they are placed on reserve.

Guidelines for Placing Materials on Electronic Reserve
Electronic reserves are produced by scanning or converting print material provided by the instructor into PDF (portable document format), which can be viewed with Adobe™ Acrobat Reader. If the latest version of the Adobe Acrobat Reader isn't installed on your computer, you can download the free software plug-in from the below link:

Instructors are responsible for monitoring the quality of the photocopies submitted to the library. Documents lose some quality when converted to PDF so it is best to provide the highest quality photocopies possible. Reserve staff will not photocopy readings for faculty.

If you are submitting photocopies, please follow these guidelines:

  • The Digital Millennium Copyright Act requires that copies reproduced must contain the real notice of copyright if the copyright owner included it on the work. Please include the copyright notice with book excerpts and journal articles.
  • Submit clear, legible photocopies with as little "black area" as possible.
  • Provide photocopies on 8 1/2 x 11 white paper
  • PDF,HTML, Word, Excel or other files in electronic format may be submitted as email attachments (send to: Donna Jones) or on disks.
  • We will not scan and place copies of entire books (including out-of-print materials) on electronic reserve. If you have received permission to photocopy an entire out-of-print book from the copyright owner and want to place it on reserve, please speak with the reserves staff.
After scanning, photocopies are kept in the Circulation Department until the end of the semester. Photocopies will not be placed on hard copy reserve unless requested.
