Campus Print Solution Policy

The Campus Print Solution is a student technology funded initiative. The goal of this initiative is to implement a print management solution that will reduce the amount of print waste and abuse of an open print environment while at the same time provide additional print options to students such as duplex printing, color printing and copying. The multifunction printers by Ricoh in combination with the Blackboard card readers have been selected and placed throughout the library and campus computer labs. This arrangement provides students a secure method of sending and releasing their print jobs in a convenient and responsible manner. Student Print Credit

Each semester (including summer), students who have registered and paid for one or more courses, will receive a $17.50 print credit on their VSU 1Card.

The print credit will be applied to the student’s VSU 1Card account approximately 2 business days before the beginning of each term.

Students registering on or after the first day of classes will have the print credit applied to their VSU 1Card account within 2 business days of registering.

At the end of drop/add period, the student’s print credit will be adjusted based on enrolled status. If the student has not paid tuition and fees by the end of the drop/add period, the student print credit will be removed for non-payment.

This print credit will allow the student to print up to 350 single-sided black-and-white pages at $0.05. The student may also choose to apply the print credit to their choice of single-sided or double-sided (duplex) black-and-white, or color prints or photocopying - refer to current print rates.

The $17.50 print credit can only be used for printing or copying and cannot be used as cash to purchase other 1Card supported functions such as the purchase of food at campus eateries.

Unused printing credit balances will be cleared from the student's account one week after the term ends. These balances do not roll over to the next term.

When the print credit has been depleted, then additional prints will be deducted, at current print rates, against the balance on the student’s Flex account. A print job will not print unless the student has a sufficient amount on their Flex account to pay for the print job.

If you get an “unassigned privilege” error displayed on the card reader when you swipe your card, you will need to complete the Card Reader Error Report form or visit the IT Helpdesk to request your print credit..

If you get a “card read error” message displayed on the card reader when you swipe your card, this is indicative of physical damage to your VSU 1Card. Please bring your card to the 1Card Office for replacement.

Assignment of the print credit to the 1Card ID will normally be completed within 24 hours of request.

Printing in the Library

Print options such as single-sided or duplex b/w, color printing or copying are available in the library – click on location chart  for specific printer locations. 

Students will be required to swipe their 1Card using the card reader attached to each of the Library multifunction printers in order to release their print jobs. Please visit the Campus Lab Print Solution website for detailed written and video print instructions.

Once the print job is selected and printed, the cost of the print job will be deducted from the student’s print credit or Flex account balance. The cost of the current print job along with the combined balance of the student’s print credit and Flex account will be displayed on the card reader.

All printers in the library will be defaulted to b/w duplex printing and will require the manual selection of single-sided and color print options.

Color printing will be available in the Internet Café’ and in Media Services – refer to current print rates and location chart.

Copy options will be available in the current copy room locations on the first and second floor of the library – refer to current print rates and location chart.

Another option for payment is the VSU Guest Print 1Card, these cards are available for purchase at two locations in the Library: Media Services and the second floor Circulation desk and are available in $2.00 and $5.00 units with a $1.00 processing charge per card.

Printing in the Computer Labs

Printing  during a classroom session by students in computer labs will not be charged against the student’s account; only printing done outside the scheduled classroom session in  computer labs will require students to swipe their 1Card resulting in a charge against the student’s account.

Global support accounts will be setup for departments supporting computer lab printing - video instructions for lab printing

Guest Printing

VSU Guest Print 1Cards are available for purchase at two locations in the Library: Media Services and the second floor Circulation desk and are available in $2.00 and $5.00 units with a $1.00 processing charge per card.

Current print rates will apply and be deducted accordingly – see guest printing

Once the print job is selected and printed, the cost of the print job will be deducted from the VSU Guest Print 1Card balance. The cost of the current print job along with the balance of the guest print card will be displayed on the card reader.

Refunds will not be provided for guest print cards that are lost or stolen.

VSU Student Organizations

Members of student organizations, wishing to print material for the organization in the library and in computer labs during open periods, may avoid having charges billed to their personal accounts by having their organization purchase guest print cards, following the same set of policies as guest printing. Additional option available for the Student Organizations will be to purchase a blank reloadable flex card - paid up front - from 1Card Services for a specified dollar amount with a $15.00 processing fee per card.

Faculty and Staff Printing

A per-semester print credit of $17.50 will be automatically assigned to faculty and staff 1Card accounts as a print credit approximately 2 business days before the beginning of each term.

VSU faculty and staff may print in the Library and computer labs using their 1Card ID.

Note that printing using the print credit by faculty and staff should be in support of teaching and learning.

If you get an “unassigned privilege” error displayed on the card reader when you swipe your card, you will need to complete the Card Reader Error Report form or visit the IT Helpdesk to request your quota privilege.

If you get a “card read error” message displayed on the card reader when you swipe your card, this is indicative of physical damage to your 1Card. Please bring your card to the 1Card Office for replacement.

Refunds

There will be no cash refunds nor will funds be credited to the 1Card account. Prints however can be replaced due to equipment malfunction such as paper jams or poor quality prints will be made available. Requests for print replacements can be made to respective computer lab monitors or the IT Helpdesk

Reprints will be offered under the following circumstances:

  • Paper jam
  • Streaks, blurs or smudges
  • Light, faded or poor image quality
  • Print paid for but not released
  • Nonsensical or illegible printing
  • Any equipment or system error

Reprints will NOT be offered under the following circumstances:

  • Too many pages or copies of a document
  • Misspelled words
  • Wrong page numbers
  • Printed wrong document
