Guidelines
Faculty Research Grants and
Faculty Research Grants for the Performing Arts
Valdosta State University
Faculty
Research Grants are awarded through the office of Grants and Contracts
at VSU in amount up to $1,000.00 per year to full time
faculty by a vote of the Faculty Research Committee.
The Committee meets once each month to review applications for faculty
research grants and faculty research grants for the performing arts.
Guidelines for
Faculty Research Grants
Faculty Research Grants are awarded to support bona fide research that enhances and supports the Mission of the University especially as it is reflected in Goal Number 7. The proposals, if funded, are expected to lead to external grant applications, publication in refereed journals and to encourage research that might not be accomplished without such assistance. These grants are to be used to help defray costs related to research such as copying, supplies, postage, computer program development or purchase, and publication assistance. Travel expenses including transportation, food and lodging must relate directly to the research if they are to be considered and will be judged on a case-by-case basis.
Eligibility: All full time faculty at Valdosta State University are eligible to apply for Faculty Research Grants including instructors and non-tenure track full time faculty. This excludes part time and adjunct faculty.
Exceptions
to Funding:
Funding under the Faculty Research Grant program will normally not
be approved for the following items:
- No
items or services normally funded by a department or for which
outside funding has been received. EXCEPTION:
Expenses connected with the preparation of a proposal to an external
agency (NSF, NIH, etc.) may be considered for funding but a completed
proposal must be the end product of such a request.
- No
funding will be given to a research project leading to a degree,
i.e. dissertation research expenses.
-
Travel to conferences cannot be approved under the Faculty Research
Grant program.
- Generally
funds are not allocated for hiring research assistants. EXCEPTION:
There may be extenuating circumstances such as hiring a data input
person when a large amount of data is generated. Each case will
be considered on its own merits and funding for one project shall
not set precedence for another.
- No
more than 33% of the subsidy to a press will be granted, the paper
must be accepted and a bill must be presented with the proposal.
No "Vanity Publications" shall be subsidized. EXCEPTION:
Refereed journals may be exempted from the 33% rule.
-
Research awards are fiscal awards and cannot be carried over into
another fiscal year.
Purpose And Priority of Grants: The Office of Grants and Contracts and the Faculty Research Committee encourage applications from full time faculty of all disciplines at the University. The primary purpose of all grants is to advance the professional competence of the applicant within the field. Such advancement includes certain undertakings in the fine arts that may require special consideration, and guidelines related to these activities have been included under PERFORMING ARTS GUIDELINES FOR FACULTY RESEARCH GRANTS.
The determination of the intrinsic scholarly research merit of
the proposal presented for consideration is the first order of priority.
The Faculty Research Grants Committee at its monthly meetings makes
this decision. The history of the individual applying for a grant
regarding prior awards may be taken into consideration in deciding
on a specific application. APPLICANTS ARE EXPECTED TO INCLUDE A
RESUME WITH THEIR APPLICATION. That resume should include their
educational background, a list of relevant publications and any
works in progress.
Publication
Requirements :
Faculty receiving a grant to support a publication's page charges,
or any publication developed, as a direct result of this award shall
acknowledge Valdosta State University Faculty Research Grant support.
One reprint of each article or paper published shall be filed with
the Office of Grants and Contracts.
Funding
For Individual Awards:
At the discretion of the committee, a project may be funded
at an amount less than the requested amount. No grant in excess
of $1,000.00 for a fiscal year shall be awarded.
When a grant is approved, all funds shall be spent within the fiscal
year of the award. Funds not expended are returned to the University
General Fund on 30 June.
Reporting
Procedures :
The recipient is expected to report on the progress of the project.
All reports should be filed in the Office of Grants and Contracts
no later than 1 August of the next fiscal year. Failure to complete
a report at the end of the fiscal period shall result in an inability
to receive funds in upcoming years. Results gained from the research
shall lead to publications and/or presentations and completed applications
for external funding. The office of Grants and Contracts shall be
provided with copies of all written documents produced through the
funded project.
Delayed Decisions: At the discretion of the Committee, a decision may be delayed for a reasonable period of time if deliberations of the Committee require such or if the committee wishes to get further information about the project under discussion. Such proposals may be sent back to the applicant requesting additional information or for clarification as deemed necessary by the committee to enable a good decision.
Rejected Proposals: Should the committee reject a proposal, the applicant may request a reason for that rejection and may ask to re-submit the proposal. The committee may accept such re-submission and consider it or not, at the discretion of the committee.
Condition
Of All Grants:
The funds available for this program are based upon availability
of funds as determined by the Vice President for Academic Affairs.
The committee shall not be held liable if funds that have been granted
should, for any reason, not be available. Such non-availability
would be a result of decisions beyond the control of the Committee.
Performing Arts Guidelines
Faculty
Research Grants may be awarded to faculty in the performing arts
for projects not usually funded by their department, by the Faculty
Development and Instructional Improvement program or outside agencies
(NEA, NEH, GHC, etc). All general guidelines and submission
processes remain the same for the Performing Arts Applications.
Ineligible
Activities: Ineligible Activities are the same as
those for research projects (see above).
Eligible Activities - Performing Arts: Faculty may request research grants to assist in developing projects related to art, music, or drama within the following PARAMETERS:
Art Projects (painting, sculpture, ceramics, pottery, etc.):
- A local show of six or more works or the equivalent should be
executed as a result of the grant. An example of such a show might
include large sculptures with models and drawings. The show should
occur within 12 months of the project start.
- Work defining a new technique should be submitted to a juried
show within nine months of receiving an award.
- Credit should be given to VSU for the support in program or
brochure, as may be appropriate, for the show and for individual
work in the show.
- A final report, due no later than 30 days after the end of the
fiscal year in which the project was funded, should be provided
to the Office of Grants and Contracts. This report should contain
photographs of the work completed.
- Expenditures for art supplies must relate directly to the funded
project.
- Costs for packing and shipping to exhibitions will not generally
be approved. However, in unusual circumstances that are clearly
documented in the application such costs may be included but only
for work completed under the funded project.
- The cost of reproductions for publicity purposes, such as brochures or programs for shows may be included for again, only for those works completed under the funded project.
Musical Composition or Performance
- The performance, composition or concert, should be performed
by the faculty on the VSU campus and may be performed in other
venues as well.
- A new work, commissioned by a member of the VSU music faculty,
should be
- Researched and documented by the VSU faculty
- Grants to support the composition of new works by music faculty may be supported for research, including travel to locations outside the South Georgia region as necessary. However, as with all travel, such a request for funding must be fully documented and a full description of the activity must be included.
Direct all questions regarding submission deadlines to the Grants and Contracts Office, 259-5045 or hjmorgan@valdosta.edu.
Frequently Asked Questions: Faculty Research Grants
1.
What is the maximum award for a Faculty Research Grant? $1000.00
2.
Do Faculty Research Grants pay for student assistant or other personnel
costs?
Only
in exceptional cases. In those cases, applicants must explain why
the work cannot be completed by themselves or by their departments
as in-kind contributions, either because of the work involved (for
example, the labor required to key unusually large amounts of data)
or because certain tasks require specialized training or certification
that the applicant does not possess.
3.
Do Faculty Research Grants pay for software?
Only
if the program or package--or its generic equivalent--is not available
on campus. Applications must attach a letter from the Office of
Information Technology confirming that the software is not available,
and they must clearly state how the software is essential for the
proposed project. Programs purchased with Research Grant funds are
the property of VSU and will be housed in the Office of Information
Technology when the project is completed.
4.
Do Faculty Research Grants pay for journal subscriptions? No
5.
Do Faculty Research Grants pay for books or other printed matter?
Only
in exceptional cases. Applications must clearly explain why such
materials cannot be purchased with departmental or library funds
or acquired through an interlibrary loan. Books and materials bought
with Faculty Research funds are the property of VSU and will be
housed in the Odum Library after the research project is completed.
6.
Do Faculty Research Grants pay for travel?
Any
request for travel must be thoroughly explained, with
(1) a specific enumeration
of tasks to be performed at the off-campus site(s),
(2) an explanation
of why the proposed work or consultation is essential to the project,
and
(3) why it cannot
be accomplished through telephone, internet, electronic mail, or
conventional mail exchanges.
7.
Does Faculty Research Funding pay for reprints of faculty publications?
No
8.
Can Faculty Research Grants fund longitudinal or multi-year projects?
No project can be funded more than once. Applicants involved in longitudinal projects should consider a VSU Faculty Research Grant only as seed money to help attract outside funding. State and Board of Regents' policy require that all state money (including Faculty Research grants) must be spent by the end of the fiscal year in which it is awarded.
9.
Who owns projects funded by VSU Faculty Research Grants?
Intellectual
property rights law and Regents' policy change rapidly. See
your Dean and VSU Faculty Handbook about how VSU funding may
affect your project.
10.
Will Faculty Research pay for page printing charges of an academic
journal?
Yes,
within the annual $1000 limit for each faculty member. One can,
however, try to reduce this cost by co-authoring so that the page
costs can be shared.
