New eProcurement System- Live April 4, 2011
The USG has started implementation of an online purchase requisition and ordering module within the PeopleSoft Financials application. VSU will begin using a phased-in process where select departments will use the new system once training has been received. All departments will be using the new system by September of 2011.
The benefits of this new system include:
- Centralized source for searching and obtaining approved goods and services
- Reduction of the need for Purchasing Cards
- Elimination, in most instances, of paper processes
- Verification of receipt of items by the department before payment
Over the next several weeks, we will be offering “sneak preview” sessions during division/department/campus meetings to help familiarize you with this new system and the upcoming changes. To schedule a session for your area, please contact Employee Development by emailing training@valdosta.edu.
To get started; please read the attached document and develop a list of persons authorized to create requests for your department with manager approval. All Budget Managers will automatically have shopper, requester and approver access in the system. We need the assistance from Department Managers to identify any additional requesters and shoppers. Please email epro@valdosta.edu with the person’s name, their department, their default fund, their specific role, and email address.
Training will be managed and conducted by Employee Development with assistance from Information Technology and Business Services. As VSU rolls out this new module, I encourage you to consider being an early adopter. A web page has been developed to keep you informed and provide you access to tutorials, job aids, and much more. New Motor Vehicle Use Procedure- Effective July 1
As per BOR requirements and the DOAS Comprehensive Loss Control Program, Valdosta State University has adopted a new Motor Vehicle Use Procedure. Effective July 1, 2010, all employees, faculty and staff, who drive on institutional business regardless of frequency of driving and/or location of driving (on-campus or off -site) shall be subject to annual compliance training.
- What does this mean for Employees?
Annual training will begin on July 1, 2010 for all university employees who may have work assignments which involve driving a vehicle (personal or state owned) to complete university related business ( on campus or off-site). All employees who are affected by this policy will need to complete the online training accessed in BlazeVIEW by using the link below. http://blazeview.valdosta.edu/webct/entryPageIns.dowebct. You will see the course listed in your course listing as Motor Vehicle Policy Training. You can also access this course by going to the VSU homepage and go to BlazeVIEW on the left hand side of the page. All employees who routinely operate a university vehicle will be subject to a Motor Vehicle Records background history check (a.k.a. Driver’s License check) in order to comply with the Motor Vehicle Use Procedure. These employees are also required to maintain their Defensive Driving Certification (renewed every 3 years).
Online USG Ethics Training - Now Required
The Board of Regents approved a USG Ethics Policy at its November 10, 2008 meeting. This policy establishes unified standards for the entire University System of Georgia. The new Ethics Policy is available at www.usg.edu/compliance/ethics. The Board of Regents has now developed an online training module to ensure that all USG employees have a thorough understanding of the USG Ethics Policy. As per the policy, each employee is required to participate in USG Ethics Policy training. Click HERE to download the Chancellor's Memo.
This course is now available for current VSU faculty and staff and can be accessed through BlazeVIEW. Please allow 30 minutes of uninterrupted time to complete this requirement. New hires should complete this requirement within the first 90 days of employment.

Utility Vehicle/Golf Cart Training
A policy is in place that governs the operation of golf carts and utility vehicles that all employees including student employees operating these vehicles need to know. All employees driving these vehicles and their supervisors are required to attend a training session to communicate the responsibilities and regulations essential to safe driving. Some of the new elements in the policy include:
- All drivers must possess a valid driver’s license.
- The department to which the vehicle belongs must be clearly identified on the cart.
- The areas in which vehicles can be driven and parked must be observed.
- Drivers must follow the accident reporting process.
A class is now available online through BlazeView.
