What's New

We are pleased to announce our Fall 2008 Schedule of Classes can be downloaded HERE. To access a monthly list click HERE.

Peoplesoft Expenses Module (Expense Reports, Travel Authorizations, Flexible Spending Reimbursement)

The anticipated date for the new PeopleSoft Financials V8 to be available campus-wide is October 8, 2008.  Beginning Oct. 8, all Expense Reports, Travel Authorizations and Flexible Spending Account (FSA) Reimbursements will be handled online.  All employees, that anticipate ever needing to be reimbursed by VSU for travel, FSAs or some other type of reimbursement, will need to complete training for the new Expenses module within PeopleSoft.  Two training formats are available:

SELF-PACED ONLINE TRAINING- The Office of Information and Instructional Technology (OIIT) has provided a User Productivity Kit (UPK) Player that has self-paced training available in all Expenses module topics.  Please visit the IT Helpdesk website: http://www.valdosta.edu/helpdesk/ - click on the Step-by Step Tutorials link and then Peoplesoft Financials Expenses Module for appropriate instructions on how to get started in this format.  All VSU employees taking the online training will be required to complete the chapter quizzes.  These quizzes are the only way to provide OIIT with a record of who has completed the course.  They are simply a tool to track participation.  Employees are not expected to get all the answers correct, especially if the specific topic does not apply to them. For more information on the UPK player, please contact the IT Helpdesk at 229-245-HELP (4357).

INSTRUCTOR-LED TRAINING – Information Technology, along with Financial Services and Employee and Organizational Development, will also be providing several two hour instructor-led training classes during September and October on the general features of the Expenses module.  The UPK player will also be utilized in the sessions.  Attendance will be forwarded to OIIT.

Click HERE for a full schedule of classes.

The UPK player will be available for VSU employees that completed either training format indefinitely, to reference as needed.

Additional Driver Training Requirement
The Department of Administrative Services (DOAS) Risk Management Division has released a safety video that addresses the responsibilities state employees have if they are involved in an automobile accident and safety issues while conducting state business. All state employees are being asked to view the video by March 1, 2008. The video is 12 minutes long. Click HERE to view. After viewing the video, you must complete the acknowledgement form on the same page. Please note: If you do not have flashplayer downloaded on your computer you will not be able to submit the form.  Two ways to correct this- download flashplayer onto your computer or download mozilla foxfire browser.

If you have already viewed the video and completed the acknowledgement form, you are not required to do so again.  DOAS Risk Management will be maintaining the list of state employees who have viewed the video. If you do not have internet access, arrangements can be made to view a DVD by contacting Kevin Boyd, Insurance Manager at 333-2160.

Defensive Driving Update
The Defensive Driving CD ROM Module which served as a self study method will no longer be offered as a training option for this course. The material contained in the CD ROM version of this class has not been updated and unfortunately is unavailable at this time. We apologize for the inconveince this may cause. The Defensive Driving Program will still be offered through our office as a regularly scheduled class or provided as a customized class available for departments. As a reminder, all University employees who operate motor vehicles for the University need to have a Defensive Driving certificate and have it renewed every three years. Currently scheduled classes can be found under training schedule.

Utility Vehicle/Golf Cart Training
A new policy is in place that governs the operation of golf carts and utility vehicles that all employees including student employees operating these vehicles need to know. All employees driving these vehicles and their supervisors are required to attend a training session to communicate the responsibilities and regulations essential to safe driving. Some of the new elements in the policy include:

  • All drivers must possess a valid driver’s license.
  • The department to which the vehicle belongs must be clearly identified on the cart.
  • The areas in which vehicles can be driven and parked must be observed.
  • Drivers must follow the accident reporting process.

A class is now available online through WebCT. To register for the online course click HERE.
