MGT Frequently Asked Questions
1. When will we see an increase?
a. Upon completion of the study an implementation plan will be developed. It will not be financially feasible to increase everyone at one time, but a plan will be developed to make adjustments possible over a manageable period of time with a goal to begin in early 2007.
2. Will I be paid for time spent filling out the Job Content Questionnaire (JCQ)?
a. Yes. The JCQ is not meant to be exhaustive or time-consuming. Each employee will be allowed to spend an adequate amount of time to fill out the questionnaire during work hours.
3. Does everyone have to fill out the JCQ?
a. Yes. One of the goals is to have input from everyone regarding his/her position. Although participation isn’t mandatory, it is an opportunity for every employee to take part in an important project that affects them personally.
4. Does the JCQ have to be filled in one session?
a. No. You will be able to save your information and finish completing the JCQ at another time if needed. You will be sent reminder e-mails until you have finished filling it out.
5. Who are the national peer institutions based on the Board of Regents data to be used in this study?

6. Will Management have to review each JCQ?
a. It is at each department’s discretion. Immediate supervisors are to review the JCQ’s of their employees; but the chain of command and how many people review individual JCQ’s is decided within the department and division.
7. Can Management change an employee’s response on the JCQ?
a. No. Once an employee fills out the JCQ it can’t be changed by their supervisor. The supervisor may make comments regarding job duties and tasks at the end of the JCQ but individual answers can not be altered.
8. How will individuals hear about their respective Job Description and Salary Survey results?
Once the job descriptions are generated by the software, MGT will send them to Human Resources. Human Resources will issue them to supervisors and employees for review. This could be as early as September. The results of the MGT salary survey portion of this project will not be known until early next year.
9. Can my salary be reduced by the MGT study?
a. No. The MGT study is being conducted to give us updated position descriptions that will go well with the BCAT system. The study will also aid us in benchmarking position salaries.
10. Is the MGT study a performance appraisal?
a. No. It will not be used to judge job effectiveness or job performance..
11. Will the input given by the staff on the JCQ go toward creating the new job descriptions?
a. Yes. All data entered per position will be combined to create a job description for that position.
12. After the MGT study concludes how often will these job descriptions be updated?
a. Yearly.
13. After each employee concludes their JCQ what happens when Human Resources discovers that an employee’s actual job duties are more extensive than their job description entails?
a. Once the study is complete and all JCQ data is entered those individuals who are performing in excess of their respective job description will be ‘flagged’ and re-evaluated as to the proper channels to take to remedy the situation. For Example, some positions may need to be re-classified.
14. How will the salary study be combined with the updated job descriptions?
a. Each position description will state the knowledge, skills, abilities, education level, and amount of experience required. All job position descriptions will be based on the JCQ’s and Management Input Forms that were completed in the study. After the review of job descriptions, the relative recruitment markets will be determined and from this a salary range will be applied.
15. How will supervisors know when an employee has finished filling out the JCQ?
a. On the main instruction page of the online survey, below the “Exit Survey” button is a section titled “Supervisors”. Only those people who have been designated as supervisors in the database will be able to view this section. If you are a supervisor, the employees you supervise will be listed directly below the instructions for the “Supervisors” section. The names of your employees will not appear until they have completed Section 1 of the survey (Basic Personal and Job-Related Information) where they will choose the name of their supervisor. Once they have chosen their supervisor in Section 1, this will activate the software that will cause them to appear in your list.
b. Once an employee has completed the survey (meaning they have clicked the "Section Complete" button next to each of the four sections on the main instruction page of the survey), several buttons will appear next to their name. There will be an "Enter" button that will take you to that employee's information for you to review.
c. It is the responsibility of the supervisor to log into the survey and check their employee review list periodically to see which employees are available for review.
16. Will the employee be able to modify their answers once the JCQ is complete?
a. Once an employee has submitted a section, they are not able to modify it any longer. If there has been a mistake they must contact the HR department on campus.
