Definition of Terms
Facility Any and all University property to include, but not limited to buildings, grounds, road, walkways, lights, heat, air conditioning, electricity and equipment. |
| Campus Facilities Committee An authorized committee charged with the responsibility of setting policies, prices, and approving/disapproving events to be scheduled. |
| Event Services Coordinator The person charge with maintaining the master calendar of events and dissemination of such information; scheduling of events and activities, and the approval/ disapproval of the same; coordinating events so arrangements can be made with the department or entities within the university which may serve the user and approving contracts for leasing university facilities. |
| Event Services The office that schedules all non-academic events on campus and maintains and disperses the University Master Calendar. |
| Master Calendar The official University listing of all events scheduled on campus. |
| Client Any individual with the authority to contract with the university on behalf of his/ her organization. This person is held responsible for the facilities rented or reservation. |
| No Show Any organization that has scheduled a facility and fails to show up for their reservation. |
| Cancellation When an organization cancels a reservation during normal business hours prior to the event. |
| Damages Any defacing, breakage or abnormal wear/ tear to the facility and or equipment during the organizations scheduled time. |
| Special Event Concerts, dances, conferences, lectures, seminars or any large gathering. |
| Reservation The scheduling of university facilities for all events excluding academic classes. |
| Student Organization Any organization officially registered by the Student Government Association. |
| Rental Charges Any equipment, personnel or services provided by Event Services and/ or any VSU department associated with the event. |
| Major University Event Major events may include commencement activities, admissions events, orientation sessions and conferences or workshops exceeding 75 attendees. Each request will be considered on a case-by-case basis. |
